Accountant: with these 6 tips you can warm up your clients to Peppol

Entrepreneurs who establish their Peppol connection earlier should be rewarded, many accountants believe.

Summer. Traditionally a time of less sales, fewer meetings, fewer deadlines for many entrepreneurs... in short: less must and more may.

It is also a time for resolutions. To finally finish some things that have been pending for too long. Such as the upcoming obligation to connect your business to the PEPPOL network for electronic invoicing.


Right?


In reality, we see that the entrepreneur is not yet worried about this today. And thus many accounting firms fear a lot of extra work – guidance and advice – in the months leading up to the deadline of 01/01/2026. That will be on top of the already busy fourth quarter.


We at Cashfeed listened to 5 accounting firms in Flanders. They shared with us their tips and tricks on how they want to get their clients onto the PEPPOL network as much as possible before the end of summer.

  1. Giving choice

Most entrepreneurs look to their accountant for advice on the choice of a tool or package, but at the same time, no one likes to feel limited in their choice. This is also confirmed by Tibo from Baker Tilly. “We try to give clients a choice. For us, that's Billit, for clients with more extensive or complex needs, or Cashfeed, as a simpler alternative.”


Karin Beeckman from Kantoor Beeckman in Wetteren also advises her clients to connect to Peppol via Cashfeed. “Mainly because of the ease of use. A smart and handy tool without too many bells and whistles. Anyone needing those bells and whistles can always opt for a tool like Billit.”


By focusing as an office on the support of just two tools, they can work much more efficiently. “Cashfeed also has very good customer support that is close to the entrepreneur. This way, we don't have to do everything ourselves.”

  1. Convey a positive message

“Positivity is the message,” Karin Beeckman starts. She emphasizes that Peppol is a good thing for both the entrepreneur and the accountant. “Too often, the word ‘obligation’ is mentioned, while we can better focus on the benefits, because they are countless: invoices come in centralized and are sent directly to the accountant. This greatly enhances collaboration and advisory services.”


She even thinks the legislation doesn't go far enough: “It is a missed opportunity from the government that medical practitioners were exempted. Because the benefits are certainly there for them too.”

  1. Focus on what remains the same

“Many entrepreneurs are considering stopping their business,” says Emiel from Titeca Accountancy and this is also confirmed by other offices.

The general trend is to promote as little change as possible. By focusing on what remains the same – and that is obviously still the vast majority of the collaboration – one can calm the unrest a bit and get the entrepreneur more involved in the story.

  1. Reward those who take the step earlier

Back to Karin Beeckman. She has a hot air balloon with her company Cool Down Level Up and she cleverly uses it in the organization of a contest/raffle. Among all clients who make the switch to the Peppol network before 15/8, she wants to raffle fun prizes, including some hot air balloon rides, but also tickets for the schlager festival and – as the grand prize – the accounting for 2026 completely free of charge.

  1. Phase out paper transfers early

At House of Financial Partners in Deerlijk, they see the Peppol story as a new step in the story of digitization. An evolution, rather than a revolution, therefore. “We started in 2017 as a 100% digital and robotic office,” says Francis De Bruyne, partner at HoFP. “No paper has come in here for a long time. This means that our clients were already tech savvy and do not need seminars to make the transition.”


For offices that have not done this yet, the step is obviously much larger. Gradually phasing out paper to make room for new digital channels is the message.


“Receipts will still exist after 2026,” says Stijn Heuninck, CEO of Cashfeed. “Many Peppol platforms want to address this with their own app, but we find that entrepreneurs hardly use it.”


Scanning is not an automatic process at the checkout or when paying at a restaurant. Often because the app requires too many steps or extra information. As a result, many receipts get lost. “With our integration with WhatsApp, we’ve made it super easy to send receipts to Cashfeed and we see that this is appreciated by entrepreneurs. Much more than we could have dreamed. Moreover, we automatically bundle the receipts by category. Restaurant expenses, car washes, parking, etc. can then be processed as one document per category and that’s then appreciated by the accountant.”
