LEGALFLY is one of Belgium's fastest-growing AI scale-ups. Behind the scenes, their financial administration had a hard time to keep up with that growth: invoices arriving from everywhere, an Excel sheet as the source of truth, and approvals scattered across Slack DMs. Today, their accounting runs on autopilot with Cashfeed.

The challenge

Before Cashfeed, invoice processing at LegalFly was entirely manual — and entirely dependent on Hanne:

Invoices came in from everywhere: Slack, email, even by physical mail
Every invoice was tracked by hand in an Excel sheet
Approvals ran through Slack DMs to the responsible person, followed up one by one
Everything was forwarded to an accounting mailbox, then again to the Exact Online inbox, then processed manually
The external accountant regularly chased missing invoices and open receipts by email

As LegalFly grew, the cracks started to show. Invoices occasionally got paid twice, or in the wrong currency. When Tim joined as Head of Finance, coming from a more structured environment, his conclusion was immediate: this way of working was not scale-proof.

Bookings in Exact Online now happen automatically. Manual checks are only needed for first-time suppliers or when a different ledger is detected — around 95% of bookings require no intervention at all. The other 5% is flagged for expert review.

Cashfeed suggests the right approver for each invoice automatically — a marketing invoice goes straight to the VP of Marketing, a finance invoice to their CFO. No more chasing colleagues in Slack DMs.

One-click Friday payday
LegalFly runs a simple rule: Friday is payday. Every Friday, Hanne generates a payment file in Cashfeed and executes it in Belfius in a couple of clicks.
